Accounting and Administrative Assistant

Reports to:   Finance and Operations Manager

Functions:   Provide multi-faceted administrative support to staff and volunteer leaders. Coordinate accounting activities, including daily credit transactions, accounts payable and receivable, monthly reconciliations, and financial reporting. Organize governance-related documentation, meeting materials, and travel arrangements. This is a remote position and is local to Toledo, Ohio. This position is only 25 hours per week.

Duties and Responsibilities:

  • Manage daily financial transactions
  • Accurately process accounts payable; verify and reconcile invoices; ensure expenses are budget-approved and applied to correct department
  • Manage accounts receivables for services provided by SIOP to partners and Society members
  • Complete monthly reconciliations for bank statement and credit card statement
  • Coordinate Business Rhythm process and Governance page updates, in collaboration with Executive Director and Web Designer
  • Collect, file, and upload Executive Board materials and other governance information
  • Plan logistics for Executive Board and related small meetings, including but not limited to preparing rooming lists, selecting menus, contracting offsite dinners, etc.
  • Assist with travel arrangements for staff and volunteer leaders
  • Attend Executive Board meetings to document meeting minutes, upon request of Executive Director
  • Order office supplies for staff
  • Open and distribute mail and process checks for bank deposit
  • Additional duties and projects as assigned by Finance and Operations Manager or Executive Director

Requirements:

  • Bachelors or Associate degree in Business, Accounting, or related from an accredited institution (preferred)
  • Minimum of 1 year of accounting experience, preferably in a nonprofit environment
  • Minimum of 1 year of administrative assistant, customer service, or related experience
  • Proven record of strong accounting skills
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Knowledge of QuickBooks online
  • Excellent written and verbal communication skills
  • Ability to handle and prioritize multiple projects with competing deadlines
  • High attention to detail
  • Ability to work independently and collaboratively
  • Some travel required, including weekends and extended hours

Physical Demands:

Regularly required to sit, speak, listen, read, and communicate using such tools as email, phone, video conferencing, digital platforms, printed documents, and other standard office equipment. Occasionally required to stand, walk, kneel, and carry up to 30 pounds. When working onsite at a meeting or event, this position is very active, requiring extensive movement such as standing, walking, bending, lifting, moving materials, kneeling, and speaking for up to 16 hours per day.
