Administrative Assistant

The National Museum of the Great Lakes seeks a detail oriented, highly organized part-time administrative assistant and bookkeeper to maintain accurate daily financial records, assist with senior leadership administrative needs, and support board meeting and board communications. The individual will guide the company’s financial data and compliance by maintaining accurate books and performing daily accounting tasks such as financial reporting, general ledger entries, and payment records. The ideal candidate should have previous bookkeeping experience, excellent oral and written communication skills, and be able to organize their work using tools like Microsoft Excel, Word and PowerPoint and Google Sheets, Docs and Slides. This position will provide in-office support, but has the ability to work pre-determined yet flexible hours.

Position Purpose/Summary

The Administrative Assistant Job directly supports the Executive Director and the museum leadership team in day-to-day bookkeeping activities, financial reporting, board communications, and general administrative office duties.

Essential Duties and Responsibilities

Bookkeeping/Financial Duties

  • Consolidates information about various income from multiple sources (expected & actual) in the Chart of Income.
  • Picks up deposit tickets from the bank.
  • Manages bills, invoices and prints checks to ensure on-time payment.
  • Acts as liaison with the museum accounting firm and facilitates the annual audit.
  • Organizes organization’s files based on the document retention policy.

Board of Directors Duties

  • Communicates on behalf of the executive director and senior leadership with the museum board of directors and committee members on board and committee meetings.
  • Updates board files including member and committee lists, meeting dates, website, etc.
  • Gather agendas and support documents as needed for meetings.
  • Takes all board and committee meeting minutes, and finalizes and distributes them.

Other Administrative Duties

  • Supports day-to-day needs of the senior leadership team as needed to further the museum’s mission.
