Administrative Assistant

Hours: 40 hours per week, M-F 8a-5p, work remotely but live in Toledo, OH area and may include evenings and weekends

FLSA Status: Nonexempt, hourly

 

SUMMARY:  To provide administrative/office support to Toledo/Lucas County CareNet office and Executive Director.  Position is primarily remote, but may need to be in main office up to 15 hours per week.

 

POSITION QUALIFICATIONS:

Experience in a health care work setting preferred

Minimum three years’ experience in a busy professional office environment

Exceptional verbal and written skills

Computer skills required with proficiency in the entire Microsoft office suite including Word, Excel, and PowerPoint

Must be detail-oriented and able to multi-task

Exceptional organizational skills required

Must be able to tolerate fast-paced working environment

Must be a self-starter, independent worker and dependable

Must have consistent access to a car, valid driver’s license and state minimum auto insurance

 

JOB DUTIES & RESPONSIBILITIES:

Assist Executive Director with office support and projects

Assist with annual audit

Maintain donor records and complete thank you letters

Assist with annual fundraising efforts

Work with Marketing/PR Director and assist with mailings

Maintain current Business Associate agreements

Destruction of old files (shredding after sorting)

Maintain listing of signed CareNet contracts and grants

Issue invoices for contract payments

Work with Finance Department for all check requests

Update specialty referral data base as needed based on referrals and work with volunteer physician offices

Update and maintain specialty referral data base

Take minutes at all CareNet meetings including Board meetings, prepare agendas, minutes, meeting materials and set up meetings

Basic office and clerical duties as assigned with other job duties as necessary
