STATEMENT OF THE JOB:

The Donor Services Department is responsible for overseeing pledge processing, gathering and analyzing data upon request, e-Pledge setup and administration on level 1 & 2 accounts, responding to customer service requests, data integrity. As a member of the Donor Services team, the Data Management Specialist will support those functions, working closely with Resource Development to capture, manage, understand, and leverage donor and company data in the relationship management systems to support successful campaign and engagement work.

The position will have direct contact with external customers (donors, companies, designated agencies and other United Ways) and internal customers (staff, fellows, volunteers, and others), and require strong relationship skills.

ESSENTIAL FUNCTIONS:

Data Management and Information Analysis

  • Be proficient in the use of customer relationship management (CRM) systems to capture, manage, understand, and leverage relevant data. Adhere to established data standards.
  • Reporting: Process and manage requests for information. Assist users in synthesizing relevant information. Partner with staff to create and/or enhance reporting tools.
  • Information Analysis: Extract, aggregate, and examine data. Verify data accuracy. Evaluate information. Identify trends, anomalies, and relationships. Make recommendations to advance departmental goals. Perform ongoing account research by monitoring industry trends and how they affect campaign processes.

 Data Development and Support

  • Support and produce direct mail solicitation. Coordinate with RD and Marketing on suggestions for improvement or expansion based on data analysis.
  • Assist Development Officers and Major Gifs with targeted engagement communications through donor segmentation.
  • Create reports and dashboard to help all staff utilize CRM more easily.
  • Document all information gathering requests and reporting policies and procedures.
  • Assist in new company prospect research, identification, and documentation in CRM systems.
  • Coordinate use and training of enhancements to CRM systems.
  • Implement CRM introductory trainings and on-going trainings for all staff.
  • As a member of a cross-functional team, ensure the integration and integrity of data standards in CRM systems; share knowledge and communicate effectively; ensure organizational success through the following:
  • Data quality standards – Assist in the development and communication of standards.
  • Data capturing – Ensure data captured is in accordance with standards.
  • Best practices – Communicate, train to and implement established best practices.
  • Data reporting – Proactively improve the quality of organizational reporting.
  • Enhancements – Evaluate and identify systems enhancement opportunities.
  • Help create and establish annual and multi-year measurement tools for performance assessment through CRM systems data usage.
  • Process pledge card pre-print requests, uploading and printing cards for Resource Development.
  • Import data into databases as requested.
  • Facilitate lapsed donor data requests and communication uploads
  • Complete DB2 data reporting annually. Coordinate with Resource Development and Finance.

 ADDITIONAL RESPONSIBILITIES:

  • Work with other departments to ensure cross functional collaboration and information sharing.
  • Ensure adherence to standards of operation that maximize collective performance and results.
  • Other duties as assigned.

QUALIFICATIONS AND EXPERIENCE:

  • Associates degree in data processing, business management or other related field.
  • Minimum of one (1) year experience with data management.
  • Experience understanding fundraising best practices preferred.
  • Customer service experience preferred.
  • Experience with Andar and/or CRM preferred.
  • Project management experience a plus.
  • Or, a comparable combination of education and experience.

  • Knowledge of business and social community a plus.
  • Ability to have some flexibility in schedule outside of standard office hours.
