Executive Assistant

Advocates for Basic Legal Equality, Inc. (ABLE), a non-profit law firm that provides free, high quality legal assistance to people with low incomes in Western Ohio, seeks an Executive Assistant to provide support to the Executive Director and Advocacy Director. The position will report to the Executive Director and is located in Toledo.

The Executive Assistant will:
•Assist the Executive Director in communications with staff, members of the Board of Trustees, donors, funding entities, and others.
•Coordinate meetings and projects involving complex logistics and multiple participants.
•Create the preliminary agendas and materials for all meetings.
•Manage the Executive Director’s schedule and contacts.
•Use project management skills to ensure projects reach completion on deadline.
•Draft letters, email responses, memos, and other material on behalf of the Executive Director, using strong written and excellent editing and proofreading abilities.
•Take and prepare notes for meetings and create and track follow up needed.
•Create and maintain electronic and paper filing systems for administrative and other documents.
•Assist the Advocacy Director in administrative tasks.

The Successful Candidate will:
•Have five (5) or more years of relevant executive assistant or administrative experience. Related college education may be substituted for up to two (2) years of work experience at the discretion of the Executive Director.

•Possess strong writing and proofreading skills.

•Be committed to ABLE’s mission.

•Possess proficiency in using technology, word processing, and Microsoft suite of products, including email, calendar, and OneDrive applications in a Windows environment.

•Exhibit outstanding interpersonal and communication skills (oral and written).

•Be organized and capable of handling and prioritizing multiple responsibilities.

•Employ exceptionally strong attention to detail and accuracy.

•Have excellent planning, follow-up, and problem-solving skills.

•Exercise sound judgment and initiative and adhere to the confidential nature of the firm and its practice, as well as human resources decisions.

•Demonstrate and maintain a high degree of skill and familiarity with computer systems and software appropriate for effective case management and delivery of legal services through telecommunications systems or other means, including Internet and other network systems.

•Provide constructive contributions to the overall management and administration of the firm.

•Possess a valid driver’s license, have a good driving record, and maintain automobile insurance.
