Vice President of Finance

About TAPA:
The Toledo Alliance for the Performing Arts (TAPA) is a collective consisting of the Toledo Symphony, Toledo Ballet, Toledo Symphony School of Music, Toledo Symphony Youth Orchestras, and most recently, The Toledo Jazz Orchestra. TAPA strives to establish meaningful partnerships with individuals and organizations that fundamentally impact the cultural life of our region. As a vibrant and growing arts organization, TAPA empowers all in our region to experience the performing arts through concerts, recitals, education programs, community engagement and activation, private lessons, fully staged productions, and more.
In the late 2024, TAPA will move its headquarters to the former Masonic Temple adjacent to the Stranahan Theater on Heatherdowns Blvd. This new facility will serve as the artistic hub for all of TAPA’s administrative offices, education programs, private lessons and group classes, some performances, and community programming.
About the Position:
The VP of Finance is a seasoned professional with knowledge of the accounting and finance. This position is a key member of TAPA’s leadership team and reports to the President & CEO. This individual works closely with members of the Board of Trustees, including the Treasurer and members of the Finance Committee and Investments Committee.
Primary Responsibilities:
- Execute financial strategy: Develop, monitor, and execute the organization’s annual financial plan. Maintain clear communication with the President & CEO on TAPA’s financial objectives, challenges, and opportunities. Coordinate actively as key contact to the Board Treasurer, Finance Committee, and Investments Committee, Endowment managers, and other stakeholders as necessary.
- Budgeting and reporting: Work with other members of the leadership team to build the fiscal budget, monitor income and spending, and update forecasts. Maintain event-level P&L analysis. Provide verbal and visual reporting to internal and external constituencies.
- Basic accounting and reconciliation: Maintain the general ledger and balance sheet. Prepare monthly closings and reconciliation. Oversee accounts receivable, accounts payable, and payroll processes. Monitor cash flow. Maintain fixed assets. Update documented procedures according to best practices.
- Oversee TAPA’s endowment: Oversee TAPA’s financial investments and maintain close working relationship with Endowment managers to plan for liquidity needs. Support the Investments Committee and provide input to the organization’s investment strategy. Record endowment pledges and payments. Manage endowment agreements to ensure compliance. Provide subaccount reconciliation and reporting. Provide regular updates to the Finance Committee and Board of Trustees.
- Vendor management: Manage contracts with outside vendors and seek new partners or technologies that improve operations, deliver efficiency, and control expenses.
- Audit: Maintain the relationship with outside auditors. This includes proactive communications, setting the audit timeline, and ensuring that all appropriate inputs are available to support a successful audit.
A Successful Candidate Will:
- Provide outstanding attention to detail and accuracy
- Demonstrate strong organizational skills, with the ability to prioritize time-sensitive tasks
- Possess excellent interpersonal skills to foster collaboration and alignment across diverse teams.
- Be proficient in Microsoft Excel and Great Plains (or other accounting software)
- Have familiarity with available technologies to make finance, accounting, and payroll systems more efficient
- Bring at least five years of accounting experience, preferably in the non-profit sector
- Have a Bachelor’s degree in Accounting, CPA preferred
- Be willing to think outside the box, test assumptions, and reject the status quo.
The Fine Print:
- This position is full-time/exempt, mostly in-office with flexibility to work remotely as needed
- TAPA’s new administrative offices will feature an open office environment
- Regular attendance at TAPA events is strongly encouraged
- Paid leave includes 20 vacation days, five sick days, two personal days, the employee’s birthday, and at least 10 paid holidays. A flexible work summer schedule is provided. Employees can roll over five days (40 hours) of unused vacation time annually. Paid leave will be prorated during the employee’s first year.
