Position Summary
Under the direct supervision of the Director of Development, Affinity and Events, coordinates meeting room rentals at Main Library, sets up and operates audio, video, and lighting equipment, and helps execute special events throughout the Library system, as assigned. Assists with setting up, logistics, and implementation of gallery exhibitions. 
The incumbent will demonstrate a commitment to the TLCPL’s mission and values including being welcoming, innovative, objective, accountable, and collaborative.

Primary Responsibilities

  • Coordinates and onsite during the rental of assigned spaces at Main Library, working directly with Library customers who book the larger spaces at Main Library and outdoor events at branches.
  • Sets up and operate audio, video, and lighting in Library spaces (interior and exterior) for various events. Works closely with the Library’s IT department on permissible use of equipment.
  • Works closely with catering service(s) and vendors to ensure quality food, beverages, and service.
  • Works closely with the Facilities and Operations Department to ensure maintenance, custodial and security services are provided as needed for each event.
  • Actively supports diversity, equity, and inclusion; promotes a culture where all staff and customers belong.
  • Acts as a leader for special events involving the development office and other Library departments.
  • Assists in supervising volunteers at assigned events.
  • Develops and disseminates timely reports concerning each event and debriefs Library staff and reports on successful strategies for future events.
  • Keeps informed of current professional practices and trends, state-local laws and
  • Helps with setting up Main Library’s Gallery exhibitions, events, and sales.
  • Performs other related duties as assigned or deemed necessary for the efficient
    operation of the department and Library.
  • Assists with department/Library projects as assigned.

Knowledge/Skills

  • Ability to collaborate effectively and productively with staff, vendors, and volunteers.
  • A demonstrated ability to plan, organize and implement events.
  • A thorough understanding of operating audio, video, and lighting equipment.
  • Strong experience setting up audio performance systems (laptop, wireless equipment, mixer, EQ, amp, mics, speakers, etc.) and balancing multiple audio sources including vocals, instruments, web cameras, and streaming services, is a bonus.
  • A demonstrated ability to manage priorities, multi-task, and maintain flexibility
    and confidence in a fast-paced department.
  • Excellent oral and written communication skills and strong organizational skills.
  • Possesses essential computer and technological skills.
  • An understanding and a commitment to the objectives and philosophy of public library service required.

 Training/Experience/Education/Certification

  • Bachelor’s Degree with an emphasis in marketing and promotion, special events, or closely related field and a minimum of three (3) years of experience in special events field required. In lieu of a degree, at least five (5) years of experience in special events. (Required)
  • Experience setting up, running, and supporting audiovisual presentation equipment (laptops, mobile devices, AV controls, lighting, etc.) for events. (Required)
  • Experience setting up, fine-tuning, setting levels, and troubleshooting portable audio equipment (indoors and outdoors) for key speaking engagements, musical performances, vocals, and VIP events. (Preferred)
  • Must be available early mornings, nights, and weekends. Must be able to meet the flexible scheduling requirements of the department and the Library.
  • A valid driver’s license; must be insured and meet your state’s minimum coverage requirements for auto insurance.
  • Must meet insurance eligibility requirements of the Library’s insurance carrier under the Library’s Motor Vehicle Use Policy.
  • Must be able to perform the essential functions of the position.

Physical Requirements

  • Must be able to lift up to 50 lbs. repetitively.
  • Must be able to move about large areas or remain in a stationary position for long
    periods of times (up to 4 hours) at an event.
