Reports To: Toledo Board & SAME CEO

Salary: $70,000 Annually

Type Of Position: Full Time Non Exempt. days, nights, weekends, and offsite events required.

Incentives: Vacation accrual; optional health, dental, and vision insurance coverage at an 80/20 premium split.

Essential Job Description: The Executive Director of SAME Café Toledo is responsible for the successful functioning of SAME Café Toledo, which includes creating a welcoming and safe environment for all guests and volunteers. This position will manage all operations and fundraising for SAME Café Toledo with the support of the So All May Eat, Inc. CEO. In addition, the Executive Director will be responsible for overseeing the hiring and training of all new Café staff. 

This position may require lifting 50+ pounds, standing for long periods of time, bending, reaching, going up and down steps, working in extreme temperatures, and collaborating with the staff to deescalate guests and volunteers. The Executive Director will also be required to drive company vehicles

Job Duties:

Fundraising Management

  • Meet annual fundraising goals set by Toledo Board and SAME CEO.
  • Oversee the development and nurturing of community partnerships for donations of money, time, and produce.
  • Develop and manage partners in conjunction with Toledo staff and SAME CEO for fundraising events, annual gala, and outreach meals.
  • Offer ideas for new fundraising events and opportunities.
  • Give presentations about SAME Café’s mission to potential partners and donors.
  • Assist in the writing of foundation grants and reports.
  • Send thank-you notes to donors and partners.
  • Engage in other duties as assigned.

Administrative Management

  • Pay state and local sales taxes on time.
  • Ensure all business licenses, DMV issues, and permits are up to date.
  • Manage emails from [email protected].
  • Work with Café staff and SAME CEO to manage PR.
  • Engage in other duties as assigned.

Staff Support

  • Plan weekly check-ins with staff. 
  • Schedule annual reviews with Café staff, including discussion of annual compensation.
  • Recruit, interview, onboard, and oversee training of all new Café staff.
  • Conduct exit interviews of departing staff.
  • Report payroll and oversee PTO accrual, sick time, and time-off requests.
  • Ensure routine equipment and building maintenance with Café staff.
  • Source trauma-informed care and safety trainings for staff and volunteers.
  • Work with Café staff to help interview and onboard interns from high schools and universities.
  • Recognize and express appreciation for staff and volunteers regularly. 
  • Coordinate volunteer opportunities at partner organizations and farms with Café staff.
  • Engage in other duties as assigned.

Financial Oversight

  • Prepare and submit annual SAME Café Toledo budget for approval by National Board, in conjunction with Toledo Board, National Finance Committee, and SAME CEO.
  • Maintain budget compliance in conjunction with staff and SAME CEO.
  • Track and reconcile all bank account deposits and expenditures in Quickbooks..
  • Review monthly finance reports from CFO.
  • Pull Income & Expense, Profit & Loss, or Budget vs. Actuals as needed to ensure budget adherence.
  • Manage weekly donation deposits.
  • Ensure tracking of in-kind donations, including the weighing and recording of all donated produce.
  • Engage in other duties as assigned.

Board Management

  • Recruit and onboard new members of Toledo Board. 
  • Work with Board Chair to create and manage meaningful subcommittees to support the work of SAME Café Toledo (Executive, Finance, Development, Food Partners, etc.).
  • Ensure Toledo representation on National Board and subcommittees (Finance/Programs & Data, DEIB, etc.).
  • Attend all Toledo Board and subcommittee meetings.
  • Engage in other duties as assigned.
