POSITION HAS BEEN FILLED-Senior Center Special Events and Volunteer Coordinator

The Sylvania Senior Center is a program of Sylvania Community Services. The Special Events and Volunteer Coordinator is responsible for the development, implementation, and management of a comprehensive special events and volunteerism program for Sylvania’s adult population 55 years and older.

Essential Functions

Plans, organizes, leads, and evaluates special events such as dances, anniversary week, health fairs, holiday parties, trips, outings, and monthly movie days; works collaboratively with Senior Center Program Director and Program & Services Coordinator to develop an annual calendar of events.

Supports the delivery of quality programming by working collaboratively with the Senior Center Program Director in evaluating special events and volunteer; collects and manages data related to Special Events and Volunteer Services; provides monthly report to the Senior Center Program Director.

Works collaboratively with the Senior Center Program Director to identify and secure in-kind contributions that support scheduled special events.

Establishes and maintains relationships with special event community partners/sponsors.

Maintains records of special event expenses and sponsor donations.

Responsible for developing and implementing a recruitment strategy and comprehensive training program for volunteers; works collaboratively with staff and Participants Council to determine areas of needs for volunteers; designs, implements and updates volunteer training module.

Responsible for creating and maintaining a record keeping system and volunteer materials for recruitment, retention, and recognition; maintains accurate records of volunteers, hours and schedules.

Collaborates with Program and Services Coordinator and attends to program needs in Program Coordinator’s absence.

Works collaboratively with the Senior Center Office Coordinator for scheduling and maximizing utilization of space; ensures accuracy of participant sign-in and data input into SAMS.

Provides planning assistance for Participant Council events.

Works with Sylvania Community Services graphic designer to develop marketing material to promote programs and services.

Seeks out opportunities to enhance job knowledge and ability to provide input to programs and services to enhance and expand program offerings.

Provides input for program budget, newsletter, departmental policies, procedures and other reports as requested.

Performs all duties within the framework of the policies and procedures of Sylvania Community Services.

Performs other duties as assigned.

Education and Qualifications

Bachelor’s degree in human services related field, gerontology, events management/recreation, or related disciplines.

Minimum of two years of training or experience working and relating to older adults.

Minimum of one year of event planning and sponsorship cultivation and management.

Skills, Knowledge and Abilities

Excellent organizational skills.

Special event planning, coordination, execution experience.

Excellent oral and written communication skills.

Knowledge of and experience working with adults age 55+.

Computer and record keeping literacy; proficient at Microsoft Office

Must be able to work evenings and weekends.
